When a printer jams or a server goes down, every business needs someone to call. The question is how you pay for that someone. Do you sign an annual maintenance contract (AMC) and pay a fixed fee, or call a technician only when something breaks and pay per visit?

Both work. Choosing the wrong one means you either pay for support you don’t use, or lose a day of business waiting for help that isn’t contracted to come.

The three common options

Comprehensive AMC. A fixed yearly fee covers labour and most replacement parts. You get predictable costs, scheduled preventive maintenance and an agreed response time.

Non-comprehensive AMC. A lower fixed fee covers labour and preventive visits. Parts are billed separately when needed.

On-call (pay per visit). No contract. You call when something breaks and pay for the visit, the labour and the parts. Nobody is committed to reach you quickly.

Side by side

Comprehensive AMC Non-comprehensive AMC On-call
Cost pattern Fixed, highest upfront Fixed fee + parts as needed Unpredictable
Parts Mostly included Extra Extra
Response time Agreed in contract Agreed in contract Best effort
Preventive maintenance Included Included Usually none
Best for Business-critical systems, older equipment Newer equipment still under OEM warranty Very small setups, non-critical devices

Four questions that decide it

1. How much does an hour of downtime cost you? If a failed billing system stops a pharmacy, a hotel front desk or a bank counter, the cost of waiting dwarfs the cost of an AMC. If a broken printer in the back office just means walking to another one, on-call is fine.

2. How many devices do you have, and how old are they? A handful of new laptops under warranty rarely justifies a contract. Dozens of machines, several of them past warranty, usually do. Very old hardware is a different case: an AMC for equipment past its useful life can cost more than replacing it. See why upgrading legacy systems is often the smarter spend.

3. Where are your locations? In smaller towns, an on-call technician may take a day or more to arrive. An AMC with a contracted response time, and an engineer based near each branch, closes that gap.

4. What did you spend last year? Add up every support visit, part and replacement from the past 12 months, plus a fair cost for the hours lost waiting. Compare that total with an AMC quote. If last year’s on-call spend comes close to the AMC fee, the contract is the better deal, because it also includes preventive maintenance and guaranteed response.

Whichever model you choose, put it in your plan when you plan your IT budget so support costs never come as a surprise.

What works in practice

  • Hospitals and diagnostic centres: comprehensive AMC for billing, lab and pharmacy systems, with a short response time written into the contract
  • Hotels and resorts: AMC for front desk and point-of-sale systems, with priority response in peak season. On-call is enough for back-office devices.
  • Banks, NBFCs and microfinance firms: AMC with engineer coverage for every branch location, not just the head office
  • Schools and colleges: AMC for campus computer labs and the network, timed so preventive maintenance happens before exams and admissions
  • Small offices with under ten devices: on-call, with a trusted vendor’s number saved

Many SMEs end up with a mix: an AMC for critical systems and on-call for everything else.

What to check before you sign an AMC

  • Response time and resolution time, in hours, for each location
  • Whether a standby device is provided while yours is being repaired
  • How many preventive maintenance visits are included each year
  • Exactly which parts are covered, and what’s excluded (physical damage and consumables usually are)
  • How issues are logged, tracked and escalated

Beyond AMC: managed IT support

If you have no in-house IT person at all, consider managed IT outsourcing. It goes beyond fixing breakdowns. A team monitors your systems, handles updates and backups, and looks after both on-site equipment and cloud services for a predictable monthly fee.

Support is one of the tech decisions to make before scaling. Settle it before you add your next location.
