Most SMEs don’t plan their technology. It builds up. A billing tool was bought in year one, a few laptops were added as people joined, and an accounting package came on the auditor’s advice. A WhatsApp group became the order system. It works at one location with fifteen people.

Then the business grows: a second clinic, a new hotel property, three more bank branches, a new campus. The same setup that felt fine now breaks every week. Data doesn’t match between locations, nobody knows which laptop is under warranty, and the owner spends evenings fixing reports by hand.

Fixing technology after you scale costs far more than deciding it before. These are the five decisions worth making while the business is still small enough to change easily.

Decision 1: Where will your systems run?

Cloud, a server in your office, or a mix of both? The answer depends on how reliable your internet is, how uneven your workload is, and whether you can afford downtime. A resort with seasonal peaks has different needs from a diagnostic lab that can’t stop when the internet drops.

Decide this once, for the whole business, rather than letting each new application choose for you. Our cloud services team helps SMEs pick the right model and move in stages.

Decision 2: Will you build software or buy it?

Off-the-shelf software is faster and cheaper to start with. Custom software fits your workflows exactly but takes longer and needs maintaining. Most growing SMEs need both: a standard platform such as Odoo for accounting, inventory and HR, plus custom software for the one process that makes the business different.

A simple rule: buy for what every business does, and build for what only you do. If you build, insist on proper testing. Here’s how we test before we ship.

Decision 3: What is your one source of truth?

When sales lives in one app, stock in a spreadsheet and accounts in a third system, every report becomes an argument about whose numbers are right. Before you add locations, decide which system holds the master record for customers, products and money, and connect everything else to it.

We’ve written more on why one source of truth matters. Once it’s in place, reporting dashboards let you see every location on one screen.

Decision 4: How will you standardise devices and support?

Buying whatever laptop is on offer each time someone joins leaves you with ten models, ten chargers and no idea what’s under warranty. Pick two or three standard business-grade configurations and buy only those. Keep a simple register of every device, its purchase date and warranty end date.

Then decide how devices will be supported: a yearly maintenance contract, or paying per call. Our guide to AMC or on-call support explains how to choose.

Decision 5: Who owns IT?

In many SMEs, IT is “whoever is good with computers”, usually an accountant or the owner’s nephew. That works until a server fails on a Saturday. As you grow, IT needs a clear owner, whether that’s an in-house person, an outside partner, or both.

If hiring a full IT team doesn’t make sense yet, managed IT outsourcing gives you a team on call for a predictable monthly cost.

Wondering whether an outside partner is right for you? Here are 5 reasons growing businesses choose Kwantify Solutions as their development partner.

Make these decisions once, then budget for them

None of these decisions needs a big upfront spend. What they need is a deliberate choice, written down, that every new location and new hire follows. Put them into a yearly IT budget so growth doesn’t arrive as a string of surprise costs.

If you’re already running on older systems, start with upgrading your legacy system before you add more locations on top of it.
