Ask a growing business a simple question, like “How much did we sell last month, and how much of it have we collected?”, and watch what happens. Someone exports from the billing software. Someone else opens the accounts package. A third person checks a spreadsheet that “has the latest figures”. Two days later, three different numbers are on the table.
This isn’t a people problem. It’s an apps problem. Most SMEs add software one need at a time, and each app ends up holding its own version of the truth.
The hidden cost of disconnected apps
- Re-typing. The same customer, patient, guest or student is entered into three systems, by three people.
- Errors. Every re-typed entry is a chance for a wrong amount, a misspelt name or a missed update.
- Slow decisions. Owners wait days for numbers that should be on screen in seconds.
- Arguments. Meetings get spent debating whose figures are right instead of what to do about them.
- Growth gets harder. Every new branch or location multiplies the mess.
That’s why deciding your source of truth is one of the key decisions to make before you scale.
What “one source of truth” means
It doesn’t mean one giant app that does everything. It means that for every important type of data (customers, products, prices, transactions, staff), one system holds the master record. Every other app reads from it or writes back to it automatically. Enter it once, and it’s right everywhere.
Three ways to get there
1. Move to one platform. Replace several small tools with a single ERP that covers sales, purchase, inventory, accounts and HR. Platforms such as Odoo are modular, so you can start with two or three modules and add more later. This works best when your current tools are basic or near the end of their life. In that case, also read about upgrading legacy systems.
2. Connect the apps you already have. If your core software works well, such as a hospital system, hotel PMS or loan management system, keep it and connect it to everything else. Integrations through APIs move data between systems automatically. This is often the fastest win, and our custom software development team builds these connections.
3. Bring the data together for reporting. Even when apps stay separate, their data can flow into one central database, built on a platform like MS SQL Server. From there, Power BI dashboards give management one view of the whole business. Our data analytics services team designs these.
Most SMEs use a mix: one platform for the back office, connections to specialist apps, and a reporting layer on top.
What it looks like by industry
| Industry | Typical separate apps | What integration gives you |
|---|---|---|
| Healthcare | Hospital management, pharmacy, lab, accounting | One patient bill covering every department, stock that updates as medicines are dispensed |
| Hospitality | Hotel PMS, restaurant POS, channel manager, accounting | Room, food and booking revenue on one screen, with no manual night audit |
| Banking and finance | Loan system, field collection app, accounting, reporting | Collections visible the same evening, and reports straight from the system |
| Education | Campus ERP, LMS, fee collection, parent app | One student record from admission to alumni. See our digital campus guide. |
How to start
- Map what you have. List every app and spreadsheet, what data each holds, and who types into it.
- Pick the master for each kind of data. Decide which system owns customers, products, prices and transactions.
- Fix the most painful flow first. This is usually the one people re-type every day, often billing into accounts.
- Test every integration. Check data in both directions, including what happens when one system is down. Here’s how we test every integration before go-live.
- Add the rest in stages, and budget for integration as a planned project, not an afterthought.
Integration projects meet the same challenges as any software project. We’ve covered how to handle them in common application development lifecycle challenges.
